Under the general direction of the Head of Middle School, the Middle School Administrative Assistant is responsible for the day-to-day administrative operations of the Middle School and responsible for ensuring that all work is completed in a timely and accurate manner. This position is classified as non-exempt for the purposes of the Fair Labor Standards Act. Responsibilities: - Communicate effectively and professionally with students, faculty, staff, and parents. Respond to inquiries via email, telephone, and in person. Address concerns pertaining to students and school policies. Answer all phone calls to the Middle School.
- Provide office support to teachers and administrators including but not limited to generating letters, making copies, faxing, scanning, sending emails, maintaining files, and providing other daily support to school personnel.
- Assess needs and order supplies. Prepare purchase orders and check requests.
- Coordinate meetings.
- Record student absences and maintain student records / files.
- Serve as first point-of-contact for all visitors to the Middle School, providing a professional and friendly greeting and assisting with questions, procedures, and protocols.
- Other responsibilities and duties may be assigned and added as needed
Qualifications: - A two-year degree is required. A four-year degree is preferred. Appropriate work experience may be accepted in lieu of education requirement.
- Five years' experience in an office setting preferred. Knowledge of office procedures.
- Excellent verbal and written communication skills, including experience communicating with a population such as students, teachers, staff, parents, and vendors.
- Strong attention to detail, organizational skills, and problem-solving skills.
- Strong technical skills, including knowledge of Microsoft Outlook, Word, and Excel, and the ability to quickly and adeptly learn new computer systems.
- Ability to handle sensitive issues and maintain confidentiality.
- Excellent interpersonal and customer service skills related to interaction with parents, students, and co-workers.
- Ability to take initiative, adapt to changing work environments and job responsibilities, and seek to contribute to the School outside of the responsibilities outlined.
